Configuration

The Onboarding Configuration page serves as the central hub for customizing and controlling every aspect of the onboarding process within Advance HR. It allows administrators to define process flows, set permissions, manage document libraries, and enable various automated actions and notifications. This section ensures that onboarding workflows are tailored to organizational needs, compliance requirements are met, and all stakeholders are kept informed throughout the process. Key features include managing process stages, setting up automated reminders and link expirations for joining forms and offer letters, configuring email notifications and approvals, and enabling advanced options like blacklisting and daily reporting. These settings collectively streamline onboarding, enhance security, and improve the new hire experience.

General Settings:

Manage Process Flow
Set up or modify the stages and sequence of the onboarding process.

Define Permissions
Control who can access or perform specific actions within onboarding.

Manage Document Library
Organize and maintain all documents and templates required for onboarding.

Logs
Track and view records of all activities and changes made during onboarding.

Checklist
Create and manage lists of tasks that need to be completed for each onboarding candidate.

Configurations:

Enable Candidate Creation For Past Dates:
Allows creating candidate records with a joining date that is in the past.

Send a Reminder To Candidate For Pending Joining Form Submission After Circulation Date:
Automatically reminds candidates to submit their joining form after a set number of days.

Expire joining form link after business hours if not submitted:
Sets a time limit (e.g., 48 hours) for the joining form link to remain valid before expiring.

Expire offer letter link after business days if not submitted:
Sets a time limit (e.g., 30 days) for the offer letter link to remain valid before expiring.

Email Notifications:


Keep in CC while Sending Offer Letter:

Add selected personas to CC when sending offer letters.

Keep in CC while Sending Appointment Letter:
Add HR Admin or others to CC for appointment letters.

Keep in CC while Sending Joinee form:
Add selected personas to CC when sending joinee forms.

Keep in BCC while Sending Offer letter:
Add email addresses to BCC for offer letters.

Keep Approver in CC for Joinee Form Clarifications:
Add approver’s email to CC for joinee form clarifications.

Keep Approver for Offer letter Approval Prior to Sending:
Require approval from selected approver before sending offer letters.

Keep Approver for Appointment letter Approval Prior to Sending:
Require approval from selected approver before sending appointment letters.

Send a Welcome Mail Notification To Supervisory Level:
Notify supervisors with a welcome email for new joiners.

Send a notification ‘n’ days prior to the candidate’s joining date regarding onboarding kit:
Send reminders about onboarding kit a set number of days before joining.

Consolidated Mail on Joining:
Send a summary email to all employees of the entity when someone joins.

Circulate Mail on Joining:
Send a joining announcement to all employees of the entity.

Notify Others – Email ID:
Notify additional email addresses about new joiners.

Daily Report of New Joinee:
Send a daily report of new joiners to HR Admin.

Notify Other – Email:
Notify another specified email address about new joiners.

Enable Blacklisting:
Allows blocking specific candidates from being considered for future onboarding or rehiring.
